We are seeking a Senior Exams Assistant to join our team. In this role you will play a key role in ensuring that internal and external examination processes are completed accurately, efficiently and within required timescales.

You will liaise with staff, students and examination awarding bodies to ensure students are entered and scheduled appropriately, and that examinations are organised and conducted in accordance with JCQ and awarding body regulations. You will help ensure examination processes run smoothly, providing a positive experience for students, staff and other stakeholders.

Working as part of a busy office-based team, you will share responsibility for delivering an efficient and customer-focused service. You will consider both the student and staff experience in everything you do, responding to enquiries promptly and professionally and providing clear, accurate and timely information to both internal and external customers.

About the role:

  • Operating administrative procedures for student entry with examination bodies to include: the preparation and submission of qualification registrations and examinations entries by published deadlines and distributing information to curriculum teams. Developing and maintaining systems and procedures for handling examinations and assessment data.

  • Develop good working relationships with Curriculum Area Heads. Work with them to plan examinations annually for their area using the Curriculum Plan as your key document.

  • Develop good working relationships with the Additional Learning Support team to ensure all students requiring Access Arrangements have approval from the awarding body and approved arrangements
    are put in place.

  • Administering procedures for examinations including liaison with colleagues on invigilation and
    accommodation, ensuring that examination body regulations are publicised and adhered to, collection and mailing completed scripts and making appropriate arrangements for students with exam access requirements or clashes of examinations. Collecting and inputting data to the colleges computerised student record systems, in particular that associated with assessments and examination entries.

  • Ensuring that specialised stationery and examination scripts are securely stored, prepared and dispatched in accordance with awarding body regulations.

  • Develop an understanding of, and keep up to date with, changing requirements of examination boards and governing bodies (in relation to registrations, examinations and certification), and assist the Exams Team Leader with communicating these to the examinations and timetabling team and, where appropriate, others within the college. Ensuring exams information on the website is always up to date and utilising other communication channels when necessary.

  • To provide a continual review of the systems to ensure development, satisfactory controls and an effective examination service for the College and its students. Look for opportunities to remove unnecessary and/or manual processes that benefit both staff and students to ensure procedural notes are maintained for all key tasks.

Essential Experience:

  • Excellent IT experience, including Microsoft Office products to produce clear and accurate communications, using information from databases and a wide range of communications media
  • Experience of working in a busy administrative team environment, managing own workloads and various conflicting priorities
  • Experience of dealing with people at all levels and of all ages, both in person, on the telephone and communicating by letter/email
  • Experience of working with complex databases for data collection, input, tracking and reporting.

Essential Qualifications:

  • Minimum of Level 2 qualification in English and Mathematics GCSE 4+ or C and above / CSE Level 1 / O-Level C or above / Level 2 Adult Numeracy or Literacy or equivalent

  • Education to level 3 or above and/or a professional qualification in exams or equivalent
