The Role

As Property Visits Coordinator, you will make sure every property receives its required visit at least once every six month  and you'll play a key role in continually improving how this service is delivered for both our clients and the business. This is an opportunity to take real ownership of a core part of our client offering and to help shape how it grows.

Your Responsibilities as a Property Visits Coordinator

As Property Visits Coordinator, your immediate priority is to deliver the visit schedule in full, sourcing extra suppliers wherever a gap needs covering and keeping clients clearly informed if a visit can't be met. You'll build a self-service reporting route for tenants who can't or won't provide access but otherwise have no issues with their tenancy. Once this core service is running smoothly, you'll turn your attention to improving internal coordination with the Property Management and Lettings teams, flagging tenancy issues early, supporting renovation conversations, and managing a clear, well-evidenced escalation process for tenants who repeatedly fail to provide access or misuse the property.

Your Skills and Experience

• You bring proven experience in property management, coordination, or a client-facing operations role, ideally within residential lettings or property services.
• You are highly organised, able to manage a rolling schedule of visits across a large portfolio and juggle competing priorities without letting anything slip.
• You communicate clearly and confidently, comfortable having direct conversations with clients and tenants about difficult or sensitive issues.
• You're comfortable building new processes from scratch and improving them over time, rather than simply following an existing playbook.
• You work well cross-functionally, and are confident coordinating with Property Management, Lettings, and Rent Review teams.

Key Performance Indicators

• 6-monthly visit schedule met across the portfolio — target 100%
• Service level, London area — target 85%
• Service level, outside London — target 70%
• Goodwill costs for missed visits — within agreed budget
• Renovation leads generated, once the process is established — on target
