Administrator – Part Time

Are you an organised and proactive Administrator looking for a part-time opportunity where you can make a real impact? Join our Work Winning Team and play a key role in keeping our busy team running smoothly, providing comprehensive administrative support across bids, tenders and day-to-day operations.

What you'll be doing:

  • Interact professionally with all people within the company and our customers.
  • Answer telephone calls and direct callers to the appropriate contact point.
  • Receive and respond to correspondence including email messages in a timely and professional manner.
  • Arrange meetings ensuring all parties receive the necessary information, including booking meeting rooms and preparing meeting agendas.
  • To manage the set up and maintenance of filing systems to ensure they are accurate and user friendly.
  • Support Directors, managers, and commercial staff with the process of making bids, tenders, and accounts.
  • Make travel arrangements and book accommodation for team.
  • Utilise our computer systems to data input, create and update records.
  • Prepare Management Information (MI) reports and documents (eg. Enquiry data, key customer accounts, sales data etc.)
  • Work as part of a flexible team, undertake a range of the functions and responsibilities that meet the needs of division / company.
  • Assist with processes such as PQQ’s, enquiry portals, booking in enquiries to the CRM etc.
  • Conduct self in a way that reflect and promotes the Van Elle company values.
  • Understand and act in accordance with Van Elle’s policies and procedures.
  • Any other tasks that you may reasonably be required to undertake.

Who we're looking for:

  • Experience of administering and using databases and associated report functions
  • Strong IT and numeracy skills, with experience in using Microsoft Word, Excel, PowerPoint and Outlook
  • Personable with strong communication and relationship building capabilities across all levels of the business.
  • Practical, logical, and able to solve problems quickly
  • Excellent written and verbal communication skills.
  • Experience of developing and maintaining high standard/quality office management systems.
  • Strong organisational skills.
  • High level of attention to detail and accuracy.
  • Ability to work under pressure

Other Requirements:

  • Eligible to work and live in the UK.
  • Flexibility to travel in the UK. (Not essential)
  • A full driving licence, that is valid in the UK (Not essential)

What you’ll get in return:

  • Competitive salary (pro rata) depending on experience.
  • Hours of work are 9.30am – 2.30pm, Monday to Friday,  however flexibility is required
  • 25 days holiday plus bank/public holidays (pro rata).
